A. |
Info/marketing package: includes copy writing, market placement, print, web, imaging, multimedia, and presentation materials as appropriate. Includes participation by Public Affairs and Publications staff, plus outside vendors as needed. Normal lead time:
40 working days (two months) from initial meeting to roll-out date,
except where size of project incurs Purchasing-mandated bid deadlines
of up to 30 additional working days (printing costs over $25,000). |
On the following sections, the "clock" begins when all necessary materials have been received in the Publications Office. (See "Copy Preparation Tips" for more details.) These timelines include two internal proof stages which assumes that proofs are returned to the Publications Office within 3 working days. Proofing of off-campus print projects will be handled by the Publications staff. If you need to check proofs from the off-campus printer, add 6 working days to the timeline (two sets of proofs). As an example, these are the stages of a typical project: |
1. |
Initial meeting to set project goals, design parameters. |
2. |
Gathering of necessary materials for project. This can vary from total client responsibility to shared responsibility to total Publications responsibility (rare). Usually, text is provided by the client: you know more about your area than anyone else. Photos and illustrations can be prepared by Publications; those add time requirements—see below. |
3. |
Delivery of all necessary materials to Publications. (Clock starts.) |

* This timeline assumes the electronic files of the previous version are available. If the previous version was prepared by the Publications Office in the past two years, the files are probably available. If the previous version was prepared elsewhere, or more than two years ago, the files are probably not available. In that case, use the timeline for the appropriate new project. |
