Publications Services
The Office of Publications supports the mission
of A&M-Corpus Christi by providing the following services which
are available to all faculty and staff members, and to students preparing
materials for use while representing the University to the general
public.
Regulation note
Because the Director of Publications is charged with maintaining the
public image of the University (University
Rule 09.02.99.C1 and University Procedure 09.02.99.C1.01), all publications
(including electronic publications) intended for off-campus audiences
should be reviewed by the Director before they are published. All publications
prepared by the Office of Publications staff are automatically considered
reviewed; any others should be submitted for review before sending
to on- or off-campus printers, or posting on the web.
Design and Layout
We will design and prepare layouts for recruiting and informational materials,
including brochures, posters, flyers, booklets and other printed
materials, as well as specialty items such as pencils, cup holders,
etc. At the same time, we can prepare web graphics and/or web page
templates to coordinate with/supplement your printed materials. We
also prepare the layouts for University stationery (business cards,
letterhead, envelopes) and can prepare layouts for preprinted forms.
We can work from your designs, or prepare new layouts based on information
you provide: purpose of the piece, audience, approximate budget,
expected lifetime of the piece, quantity needed, quality desired.
Web
Publications has two primary responsibilities related to the World Wide
Web: design, maintenance and approval of links to the main University
index pages; and consultation on the design of web sites and pages
for University offices, departments or divisions. The Director of
Publications serves as the University Web Coordinator and chairs
the University Web Committee. The University Web Procedures can be
viewed online.
One of our Multimedia Designers maintains the main University index
pages, plus all the web pages for Institutional Advancement, and
can also provide design guidance and trouble-shooting maintenance
for other departments on a time-available basis. Our other Multimedia
Designer can create web page templates and graphics, also on a time-available
basis. Call us to discuss your needs.
Prepress
The Office of Publications is equipped to prepare camera-ready art for
almost any type of printed job: from 1-color work done on-campus
to four-color process pieces produced off-campus. We'll work with
you to establish your requirements, and take high-end projects through
to completion, including working with off-campus printers. We'll
deliver the art and check proofs to ensure a quality job is finally
delivered to you. Using the University network, we can accept files
via email (Novell or internet); in fact, we prefer to have your text
in electronic format, in MS Word files (Mac or Windows). We would
prefer to prepare any graphics and scan photos on our equipment to
ensure consistent quality, but will work with your files if those
are the only available source. For more details on files and formats
we can use, see our Copy Preparation Tips page.
Photography
Our digital imaging specialists may be scheduled to take photos for recruiting
and informational publications and web pages; to cover awards ceremonies,
meetings, special events, or special presentations; to document art
shows, etc; to take publicity photos for upcoming events; and to
take portraits for publication. For any other purpose, call and we'll
consider your request. We use digital cameras or shoot color print
film for most events. We use external vendors for film processing.
When we use print film, we usually deliver one set of prints to you,
keeping the negatives and a proof on file in our office. With digital
photography, we archive all photo shoots on CD and/or DVD; we can
make you a CD with the best images on it. We also can have prints
made from existing negatives, slides or digital images; we can coordinate
having copies made of slides or larger format materials with outside
vendors. We are able to scan existing prints and transparencies into
digital format, and can perform color corrections and other operations
in Adobe Photoshop.
Presentations
Presentations services include mounting and/or matting your flat materials
or materials we produce to your specifications; we work with outside
vendors on these projects. Bring us the requirements for your presentation
and we'll work with you to get the project done. If the project is
elaborate or extensive, we will pass on the costs incurred
with outside vendors.
Multimedia presentations
With the addition of several student interns, we are developing a multimedia
presentation capability. Art, communication and music majors are
brought in on an academic year basis to work with our professional
staff to develop video, web, DVDs and/or print projects.
Costs
and Production Time Requirements
Currently, all services produced by Publications are
provided to University faculty and staff at no charge. Because of budgetary
constraints, we have set some limits. In general, we will cover the costs
incurred in preparing your event/materials for publication; you are responsible
for the costs of the event or printing. For example, our standard photography
work consists of one set of prints with film or a CD with digital; if more are needed, we can loan the
negatives to the requesting office or they may take the CD to have additional prints made at
their own expense. On print jobs, we will prepare the camera ready artwork;
the requesting office is responsible for the actual printing costs. Because
we have a relatively small staff, we have to perform at top efficiency.
To achieve this efficiency requires the support and cooperation of all
our clients on campus. When projects are received with sufficient time
to fit into the established work flow, we can maintain our efficiency; "last-minute" projects
have the opposite effect: disruption of the work flow. We have established
some standard turn-around times for typical projects which are available
at our Timelines page. For a project not on
the list, call us or send an email and we can establish a workable time
frame.
